Privacy policy

Who we are. KitLog is an equipment-register service operated by Central Technologies Limited, registered in England & Wales (company no. 12231402), VAT GB 338720296. Registered office: 21 Glenhill Close, London N3 2JS. Contact: support@kit-log.com.

What we store. Account data (your name, work email, password hash), your organisation's register (asset details, staff names, work emails, team names, leave dates, assignment history) and operational logs (emails we send you, audit trail of register changes). If you request a free template, we store the email address you give us in order to send it; we don't add it to any mailing list.

Why (lawful basis). We process account and register data to provide the service you've contracted for (contract); email logs and audit trails to keep the service secure and support you (legitimate interest); billing data via Stripe to meet legal obligations.

Your staff's data. Your organisation is the data controller for the staff records you enter; KitLog is a processor acting on your instructions. Our Data Processing Addendum covers this.

Where. Data is hosted on servers in the UK/EU, backed up daily.

Retention. Active accounts: for as long as you subscribe. Cancelled or lapsed accounts: data is kept for 90 days — with reminder emails at 7, 30 and 60 days so you can export or reactivate — then permanently deleted after a final notice. You can export everything at any time, and request deletion sooner.

Sharing. Payment processing by Stripe; transactional email by Purelymail. We never sell data. The site uses only essential cookies (login and security) — no advertising, no tracking, no analytics.

Your rights. Access, rectification, erasure, portability, objection — email support@kit-log.com. You can complain to the ICO (ico.org.uk); our ICO registration reference is ZB198092.
